How to Set Up Claude for Your Business: A Step-by-Step Guide
A practical order for setting Claude up in a small business: pick the work, choose the plan, give it your business context, build projects, write procedures as instructions, connect tools, and set the rules.
Direct Answer
Set Claude up in this order: decide which recurring work it should do, choose the plan, tell it about your business, create one project per area of work with its own instructions and files, turn your procedures into instructions it follows, connect only the tools it needs, and write down the rules for what it may and may not do. Most owners can do the first five steps themselves in an afternoon. Connecting Claude to a business system and setting limits for a team is where help pays back.
We run our own company on Claude every day, and this is the order we use.
Step 1: Pick the Work Before the Tool
Write down three jobs that come back every week and eat time: replying to similar enquiries, drafting quotations from notes, writing up service reports, chasing overdue items, summarising a supplier's documents. Setup is built around those jobs. A Claude account without a named job becomes a drafting toy.
Step 2: Choose the Plan
One person can start on Pro. Move to Team as soon as two people use Claude for company work: Team shares projects and instructions, bills centrally, and Anthropic's pricing page says it does not train on your content by default. See Claude Team vs Pro vs Enterprise for the full comparison.
Step 3: Tell Claude Who You Are
Give Claude the standing facts it should never have to ask: what the business does, who the customers are, the tone you write in, the words you never use, and how you like answers laid out. On Team, an administrator can set instructions for the whole organisation so everyone starts from the same base.
Step 4: One Project per Area of Work
A project is a workspace with its own instructions and files, and those apply to every chat inside it. Anthropic's help centre says chats do not carry context into each other unless it is added to the project's knowledge. Create projects named after real areas of the business, for example "Quotations", "Customer replies", "Service reports", and give each:
- Instructions: what Claude does in this project, the steps, and what a good result looks like.
- Knowledge: the files it should read every time, such as price lists, standard terms, past examples you were happy with, and procedures.
Free accounts can create up to five projects; paid plans have no such cap on the pricing page.
Step 5: Turn Procedures into Instructions
Your best procedure is probably in someone's head or a long document nobody reads. Rewrite it as short, numbered instructions Claude can follow, with one worked example. Procedures you use across several projects can become a skill, a reusable set of instructions Claude loads when the task calls for it. On Team, skills can be shared across the organisation.
Step 6: Connect Only What It Needs
Connectors let Claude read and act in your other tools, such as email, calendars, documents and files. Connect the tools a project actually needs and nothing else. On Team, administrators control which connectors people may use.
Connecting Claude to the system your business runs on, such as your job, quotation or customer records, usually needs a connector built for that system, limited to the actions you choose. See connecting your team's own Claude to your business system.
Step 7: Write the Rules Down
Before anyone relies on Claude, decide and write down:
- What information may go into Claude, and what may not. In Singapore, PDPA still applies to personal data your staff put in.
- What Claude may only draft, and what a person must check before it leaves the company. A sensible default: anything sent to a customer, anything with a price, anything that cannot be undone.
- Who owns each project's instructions and keeps them current.
Step 8: Review Weekly for a Month
Look at what Claude got wrong each week, and fix the instruction or the file that caused it, not the single answer. After a month the corrections slow down, and the setup is worth trusting.
Common Mistakes
- Everyone on separate personal accounts with no shared instructions.
- Pasting company knowledge into chats instead of putting it into project files.
- Connecting a tool with full access because it was quicker.
- Judging Claude on a week of untuned use.
When to Get Help
You probably do not need help if one or two people use Claude for writing and research. Help pays back when a team needs consistent instructions, when Claude has to reach your real records, or when it will act on its own. That is what our Claude setup work covers, and Claude Cowork setup for teams whose work lives in files.
FAQ
How do I set up Claude for my small business? Pick three recurring jobs, start on Pro or Team, give Claude your business context, create one project per area of work with instructions and files, turn procedures into instructions, connect only the tools needed, and write the rules for what a person must check.
How long does it take to set up Claude for a business? The basics take an afternoon for one person. A team workspace with shared instructions, a connector to your business system and written limits takes days of work.
Do I need Claude Team for my business? Once two or more people use Claude for company work, yes. Team shares projects and instructions, centralises billing and access, and does not train on your content by default.
What are Claude projects? Workspaces with their own instructions and files that apply to every chat inside them. Use one per area of work.
Can Claude connect to my business software? Often. Claude connects to other tools through connectors built on the Model Context Protocol. Common tools have ready connectors; your own business system usually needs one built for it.
Summary
Pick the work, choose the plan, give Claude your business context, build one project per area of work, turn procedures into instructions, connect only what is needed, and write the rules. Review weekly for a month. Do the basics yourself; get help when a team, your real records or unattended work are involved.
